We are currently seeking an Attorney Recruiting & Development Assistant to support the Firmwide Attorney Recruiting & Development department and reporting directly to the Attorney Recruiting & Development Manager (FW) and Chief of Staff to the Chairperson & Director of Lateral Partner Recruiting.
The position can reside in either our Philadelphia or Washington, DC office and will be responsible for providing day-to-day administrative support and assistance to the attorney recruiting and partner recruiting departments. The Attorney Recruiting & Development Assistant is expected to perform all responsibilities with a commitment to providing superior service to the firm’s attorneys, advisors and staff, and maintaining an atmosphere of teamwork and continuous improvement.
Key responsibilities of this position include:
Assist the Firmwide Recruiting and Development team and Partner Admissions team with the following duties:
Enter and maintain applicant data in the viRecruit recruiting database.
Monitor online applications submitted for open positions and organize them for each local office.
Enter and track search firm agreements for local offices.
Regulate and keep correspondence in viRecruit up to date and generate appropriate correspondence from viRecruit and respond to prospective employees as needed.
Troubleshoot any issues with viRecruit.
File resumes, letters and other recruiting materials as needed, and create and maintain departmental files.
Export Excel spreadsheets with requested data as needed.
Assist with preparation of materials, copying of documents, and tracking attendance for attorney recruiting and development programs and events as needed.
Create interview schedules in Word, create calendar appointments and coordinate with attorneys.
Enter conflict requests into InTapp and act as the touch point for any questions from the New Business Intake team.
Circulate active partner candidate reports to partner recruiting teams and the New Business Intake team.
Export evaluations and follow up with attorneys for feedback.
Help greet applicants upon arrival and escort them to interviews as needed.
Assist with tracking applicant travel and hotel arrangements.
Process check requests and expense reports for the department.
Order new attorney and summer associate gifts as requested. Coordinate the distribution of them as needed with the local recruiting teams.
Assist with recruiting, professional development, training, summer associate, diversity, and women’s initiative events as needed.
Export and distribute the school recruiting charts to the Firmwide Attorney Recruiting team.
Keep the secure portal up to date and organized.
Update charts and collect information from local teams when needed (firmwide summer class, fall associate class, student organizations, hiring criteria, school guidelines, etc).
Book and coordinate conference rooms, request food and technology as needed for the meetings.
Correspond with the marketing team for event invites and other graphics to be used by the Firmwide Attorney Recruiting team.
Help the Intellectual Property recruiting team with event support and sponsorships as needed.
Track RSVPs for Firmwide events. Upload sign-in sheets from events and Flo recruit.
Assist with Firmwide AG OnBoard uploads and onboarding for summer and fall associates.
Assist with onboarding of attorney recruiting and development department new hires and interns.
Train Attorney Recruiting & Development Interns on the viRecruit recruiting database as needed.
One to two years of law firm and professional services experience required
Experience in a recruiting function or strong interest in recruiting desired
Event planning experience a plus
Strong proficiency in Microsoft Office applications, including Word, Excel, Outlook and PowerPoint
Familiarity with database applications (viRecruit database a plus)
Strong attention to detail
Excellent oral and written communication skills
Ability to read, comprehend and follow instructions
Ability to communicate with attorneys and staff in an effective manner
Ability to manage multiple priorities and adjust to changing priorities in a professional manner
Willingness and ability to assume new tasks and responsibilities
Strong service orientation and an ability to establish and maintain effective working relationships with peers, office and firm management, vendors, and law school personnel
